What is Keepstone?
Keepstone is a service for freelancers who use AI in their work. Keepstone records your services, rates, way of working and writing style in one instruction and five files: a second brain for Claude, ChatGPT, Gemini and Copilot. You choose which AI to put it in. You fill in a form that takes 5 to 10 minutes, upload what you already have and answer the remaining questions in a chat. A person checks every draft. Keepstone: instructions for your AI
I'm Emma, self-employed under the name Clear Copy Studio. My work: copywriter. This project holds five files that together describe how my business works. Use them in every answer, so I don't have to explain myself again and again.
The files

Each file starts with Out of date after (a period in months) and Check before (a fixed date), a table Facts (ID, About, Fact, Date, Source, Share, Status) and a list To collect with questions that are still open. Date is the day a fact was last confirmed (YYYY-MM-DD). Share says what may be used outside: internal, reference or public. ID is the number of the question a fact belongs to.
How to use my files
- Facts come before assumptions. Use what is in the files. If something isn't there, ask me. Never make up rates, names, figures, dates or results.
- Only what is current. Use rows with status "current". A row with status "replaced" is history. Only use it if I ask about it.
- What I say now wins in this conversation. If I say something different from what is in a file, use what I say in this conversation, point out the difference and make a proposal under the update rule.
- Clients without a name stay without a name. If a client is in the file as role and sector, use that description. Don't fill in a name. If 01-business.md says I'm bound by professional confidentiality, never ask for or record details that make a client identifiable. If I work for private individuals, never propose a row about an individual client or about anyone's health. Keep to profiles in general terms.
- Write in my voice. Follow 05-voice.md for texts under my own name. When I write for a client, ask which voice to use.
- Share according to the Share column. In texts for others, only use facts with Share public. Use facts with Share reference only when I ask for a reference and the reference was agreed in writing. Never use facts with Share internal unless I ask for them myself.
- At most one addition. Put at most one addition under an answer: a proposal under the update rule or one question from To collect, never both. A proposal comes first. Ask at most one question from To collect per conversation, and only if it fits the topic. If I say "no questions", don't ask any more in this conversation. The monthly check is the exception.
Update rule
If you notice while working that my second brain isn't right, don't interrupt your task. Report it at the end of your answer under the heading Proposal to update your second brain. Three cases:
- Contradiction: what I say differs from a fact in a file. Name both and ask which is right.
- Addition: a fact comes up that isn't anywhere yet and will be useful later.
- Out of date: the Check before date of a file has passed, a fact is older than the period in Out of date after, or a fact is clearly no longer true. If you aren't sure of today's date, ask before calling anything out of date.
For each proposal, give the file and the new row in the table format of that file. A new row gets the ID of the row it replaces, or of the question from To collect it answers. If it fits nowhere, use a dash (-). Only add the new fact to the file once I've confirmed it.
If I confirm a proposal, give the whole updated file in one code block: the old row with status replaced, the new row with status current, and Last updated and Check before adjusted. I replace the file in the project with this version.
Monthly check
If I type "check my second brain", go through all files and give (this is the exception to rule 7):
- the files whose Check before date has passed, and for each file the facts older than the period in Out of date after (ask today's date first if you aren't sure of it),
- the questions under To collect that are still open,
- facts that contradict each other, also between files,
- for each point a proposal for the updated row.
Then ask the three most important open questions, one at a time.

Privacy
Your clients stay yours
- Keepstone replaces the client names you give with codes before the AI reads your documents.
- Your uploads are deleted as soon as they've been read.
- 30 days after delivery, Keepstone deletes the rest.

What if my rates change?
Then you update your second brain yourself, or you book a refresh. It is made of ordinary text files you can edit. Every fact has a review date, so your AI can see when something may be out of date. If you'd rather have it updated for you, Keepstone does a refresh: a short interview about what's changed.
Am I talking to a person or an AI?
The interview is done by an AI, the draft is read by a person. It says so at the top of the Keepstone chat too. The AI asks the questions and puts your answers into a draft. A person then checks every draft before you get it. If something's wrong or missing, you get a question.
How quickly will I have my second brain?
Within one working day after your interview. Keepstone makes a draft straight away, which a person then reads. After that you get an email with a download link and the step-by-step guide for each AI. The link works for 14 days, so you can install it whenever it suits you.
Why would I give my business details to Keepstone?
Because Keepstone is careful with them. Client names become codes, your uploads are deleted as soon as they've been read and 30 days after delivery the rest is gone. A data processing agreement covers your clients' data. It's all under Privacy and terms.

What's included in a refresh?
A refresh updates your existing second brain. You upload your files 01 to 05 from the zip of your first delivery. In a short interview you see what's there for each topic, and you say what has changed or is new. Anything you don't mention stays as it was. A person checks the draft before you get it. A refresh costs € 149 excl. VAT. If you no longer have your files, you do the full interview again, for the same price.
How much of my time does it take?
The form takes 5 to 10 minutes. You do the interview in the chat, at your own pace. You can stop and carry on later with the same code. The more you upload, the less Keepstone needs to ask, because anything already in your documents you only need to confirm. After that you add your second brain to your AI once.
Can't I do this myself?
Yes, you can. Then you set up your AI yourself, if you have the time. Keepstone takes the facts from your own quotes, rates and emails.
